VACANCIES AT ANTIGUA SAILING WEEK

 Antigua Sailing Week is seeking motivated, enthusiastic & creative individuals to join our dynamic international team leading up to the 55th edition of Antigua Sailing Week – April 26 – May 3, 2024. 

Shoreside Logistics Coordinator role offers an exciting opportunity to contribute to an essential national event and gain hands-on experience in event logistics.

Responsibilities

  • Assist in coordinating and managing logistics for the event, including transportation, equipment, and supplies.
  • Support the shoreside team in handling inventory, storage, and distribution of materials.
  • Collaborate with sponsors, vendors, suppliers, entertainers, and internal teams to ensure smooth event operations.
  • Coordinate setting up and dismantling event venues, ensuring everything is in place for a successful event.
  • Provide on-site support during Antigua Sailing Week, assisting with any logistical needs that arise.

Requirements

  • Excellent organizational skills with a keen attention to detail
  • Strong communication and interpersonal abilities. (Bi-lingual ability is a plus)
  • Ability to grasp all of the moving parts of a project or event
  • Ability to work effectively in a fast-paced environment and under pressure.
  • A proactive and problem-solving mindset.
  • Team player, able to receive direction and instruction
  • Able to work in ethnically diverse environment
  • Previous experience in logistics or event support is advantageous but not mandatory.
  • Administrative sensibilities, able to track and analyze relevant event data
  • Budget conscious and able to handle resources and sensitive information with integrity
  • Passion for sailing or a willingness to learn about the sailing industry.
  • Personal Laptop
  • Physically able to lift up to 50 lbs and use push cart when necessary
  • Valid Drivers License (with access to a vehicle is a bonus)

Additional Information

  • Position Type: Temporary/Event-based
  • Location: Antigua (Candidates must be available to work on-site 2 weeks before and during Antigua Sailing Week)
  • Duration: January – May, 2024

Administration Assistant 

We are looking for a bright, motivated young person to join our team as admin assistant as we prepare for the next regatta.  A keen interest in sailing and maritime would be ideal, but not necessary.  January through June with the possibility of extension.

Key Tasks

  • Providing central administration support to the entire ASW team as needed.
  • Customer service – via phone, email & in person.
  • Monitor and respond to general email correspondence, only escalating to management when necessary.
  • Fielding telephone inquiries and seeking information to respond appropriately as necessary.
  • Filing of documents, both electronic and paper.
  • Research and investigative projects as and when required.
  • Assist with travel & accommodation – arrivals & departures
  • Providing support to the marketing team as needed with social media & website updates
  • Performing routine office functions including but not limited to photocopying, scanning, and ensuring adequate stationery supplies and drinking water are on hand at all times.
  • Special projects on an as-needed basis.
  • Sourcing of office & event materials around the island.
  • Dealing with administration of online purchases, customs clearances and deliveries.
  • Data entry and analysis
  • Keeping the office organised and tidy, supervising office cleaner.
  • Any other tasks as may be assigned from time to time

QUALIFICATIONS

  • Proficiency in various computer software (Word, Excel, PowerPoint, Outlook, QuickBooks & Google Suite online).
  • Excellent command of English language – written & spoken.
  • Social media savvy – WordPress experience a plus
  • Confidence in dealing with individuals at all levels from diverse backgrounds.
  • Confidentiality concerning all matters.
  • The ability to manage conflicting deadlines.
  • Analytical and problem-solving skills.
  • Effective oral and written communication skills including grammar and composition.
  • Proven ability to manage and coordinate multiple projects in a fast-paced, professional environment; ability to work well under pressure.
  • Ability to work well both independently and with others.
  • Proven time management skills and a strong attention to detail and accuracy.
  • Driver’s licence required. Access to a car is a plus.
